The Coffee Studio

1. Introduction

These Terms of Service (“Terms”) govern your use of The Coffee Studio mobile application (“the App”) operated by The Coffee Studio LTD (“we”, “us”, “our”). By creating an account or using the App, you agree to these Terms.

2. Eligibility

You must be at least 16 years old to create an account and use the App. By registering, you confirm that the information you provide is accurate and complete.

3. Account

  • You are responsible for maintaining the confidentiality of your login credentials

  • You must not share your account with others

  • You are responsible for all activity that occurs under your account

  • We reserve the right to suspend or terminate accounts that violate these Terms

4. Digital Wallet

Top-ups

  • You can add funds to your digital wallet via the App

  • All payments are processed securely through Stripe

  • Wallet funds are non-transferable except through the gift card feature

Balance

  • Your wallet balance does not expire

  • Wallet funds are not redeemable for cash

  • We reserve the right to limit wallet balances to £500 per account

  • Top-ups are limited to £100 per day and a maximum of 3 per day for security purposes

Auto-reload

  • You may enable automatic wallet top-ups when your balance falls below a chosen threshold

  • You can disable auto-reload at any time through the App

  • You are responsible for ensuring a valid payment method is linked for auto-reload

Refunds

  • Wallet top-ups are generally non-refundable

  • If you believe a transaction is incorrect, contact us within 30 days

  • In-store refunds will be credited back to your wallet balance

5. Loyalty Programme

Stamps

  • You earn one stamp for each eligible drink purchase (hot drinks, iced drinks, or teas)

  • Stamps are earned by scanning your QR code at the till or through Scan & Pay

  • Stamps cannot be transferred between accounts

  • We reserve the right to void stamps earned through abuse or fraud

Rewards

  • After collecting 9 stamps, you earn a free drink reward

  • Rewards must be redeemed in-store by showing the redemption screen to a barista

  • Rewards expire 90 days after being earned

  • Rewards have no cash value and cannot be exchanged for cash

  • We reserve the right to modify the loyalty programme with reasonable notice

6. Gift Cards

Digital gift cards

  • You can send digital gift cards to others using your wallet balance

  • Gift cards are delivered via the App and can be redeemed by the recipient

  • Gift cards are non-refundable once sent

Physical gift cards

  • Physical gift cards purchased in-store can be redeemed through the App

  • Physical gift cards are non-replaceable if lost or stolen

  • Gift card balances do not expire

7. In-Store Payments

  • You can pay for purchases by scanning your payment QR code at the till

  • The transaction amount will be deducted from your wallet balance

  • You must have sufficient balance to complete a transaction

  • All in-store transactions are final

8. Google Wallet and Apple Wallet

  • You may add your membership card to Google Wallet or Apple Wallet for convenience

  • The wallet pass contains your member number and QR code

  • We are not responsible for issues caused by third-party wallet applications

9. Push Notifications

  • We may send you push notifications regarding payments, stamps, rewards, and promotions

  • You can disable notifications at any time through your device settings

  • Disabling notifications may affect your experience of certain App features

10. Acceptable Use

You agree not to:

  • Use the App for any unlawful purpose

  • Attempt to gain unauthorised access to our systems

  • Manipulate or abuse the loyalty programme

  • Create multiple accounts to exploit rewards or promotions

  • Share, screenshot, or duplicate QR codes for fraudulent purposes

  • Reverse-engineer, decompile, or modify the App

11. Intellectual Property

  • The App, including its design, content, logos, and graphics, is owned by The Coffee Studio LTD

  • “The Coffee Studio”, “TCS”, and associated branding are trademarks of The Coffee Studio LTD

  • You may not reproduce, distribute, or create derivative works from our content without permission

12. Limitation of Liability

  • The App is provided “as is” without warranties of any kind

  • We are not liable for any loss arising from technical failures, service interruptions, or errors in the App

  • Our total liability to you shall not exceed the amount held in your wallet balance

  • We are not liable for any loss of stamps or rewards caused by account misuse

13. Data Protection

Your use of the App is also governed by our Privacy Policy, which explains how we collect, use, and protect your personal information.

14. Modifications

We may update these Terms from time to time. We will notify you of material changes through the App or by email. Continued use of the App after changes constitutes acceptance of the updated Terms.

15. Termination

  • You may delete your account at any time through the App

  • Upon account deletion, your wallet balance will be forfeited unless you contact us to arrange a refund within 30 days

  • Your stamps and rewards will be permanently deleted upon account closure

  • We reserve the right to terminate accounts that violate these Terms

16. Governing Law

These Terms are governed by and construed in accordance with the laws of England and Wales. Any disputes arising from these Terms shall be subject to the exclusive jurisdiction of the courts of England and Wales.
